Here’s a behind-the-scenes look at the exact tools I am using to build a lean, efficient 7-figure coaching business - without a huge team or complicated systems.

People often assume there’s some fancy tech stack or agency behind it all.

It’s simple, intentional, and built around clarity, communication, and accountability.



1. Website + CRM (the backbone)

People ask me all the time who designed my website - and they’re shocked when I tell them I did it myself.

My website isn’t just a website. It’s my CRM and operations hub:

  • Client management

  • Onboarding forms

  • Scheduling

  • Payments

  • Digital course delivery

  • Newsletters + email campaigns

Having everything in one place creates instant clarity, smooth communication, and built-in accountability for both me and my clients.



2. Social media (community + trust)

I use LinkedIn, Facebook, and Instagram to teach for free, share insights, and build real relationships.

Consistency here isn’t about going viral - it’s about showing up, reinforcing my message, and creating trust over time. This keeps communication open and expectations clear before someone ever becomes a client.



3. Content scheduling (future-me thanks me)

I schedule content ahead of time using Meta and LinkedIn’s native tools.

This removes daily decision fatigue, keeps messaging consistent, and holds me accountable to actually publishing - even when business gets busy.



4. Zoom (delivery + connection)

All masterclasses, workshops, and coaching sessions run through Zoom.

It’s reliable, familiar, and removes friction. When clients know exactly where and how we meet, it supports confidence, clarity, and follow-through.



5. Live streaming with Restream

I’ve newly integrated Restream to run LinkedIn Lives.

This lets me show up in real time, answer questions, and deepen connection with my audience - without adding complexity to my workflow.



6. Simple planning systems (not fancy, just effective)

I’ve tried Trello and Asana… and I came right back to Excel spreadsheets and Google Docs.

Why?

  • Clear task planning

  • Easy SOPs

  • Organized educational materials, PDFs, and workbooks

Simple systems are easier to maintain - and accountability only works if you actually use the tool.



7. Descript (video without the headache)

I use Descript for:

  • Video capture

  • Editing long-form content

  • Creating short-form reels

It keeps my message clean, repeatable, and efficient - without hours lost in editing software.



8. Canva (visual clarity)

All images and marketing materials are created in Canva.

Clear visuals = clear communication. No bottlenecks, no waiting on designers, no overthinking.



9. Zapier (automation = accountability)

Zapier connects things like Facebook ads directly to my CRM.

This removes manual follow-ups, reduces errors, and ensures no lead falls through the cracks. Automation creates silent accountability in the background.



10. Google Chat (simplified communication)

I switched from Slack to Google Chat for instant messaging.

Fewer platforms, fewer distractions, clearer communication. Simplicity wins.



11. ChatGPT (leverage at scale)

I use ChatGPT daily for content creation - and I’ve built custom in-house GPTs for repeat tasks.

This speeds up execution, reinforces consistency, and keeps ideas moving without starting from scratch every time.



None of these tools are flashy on their own.
But together, they create a system that supports focus, follow-through, and growth - without chaos.
